Email: An Intervention

Reclaiming Thousands Of Hours From Inbox Info-besity

You can’t afford to ignore these startling numbers!

  • More than 30% of managers' time is spent on email
  • 30% of those emails are of little or no business value
  • Interruptions by email and other distracters waste 28% of a workday
  • Documented impacts include slashed productivity and quality of life

Beyond training – A comprehensive "systems" approach

To control info-besity you must have a conscious information policy that is assimilated by the entire group. That policy includes protocols agreed to by the team. We can help your group decide what your email protocols will be, then provide the necessary training to enable people to apply them. This requires top down involvement and complete participation.

Step One – Assess the current situation

We administer a survey to generate insight about the extent of the problem and its root causes. This helps formulate solutions to the group's needs and the organization's culture

Step Two – Define group level agreements

Meeting with team leaders to define email policy. Decisions may include:
  • Email responsiveness expectations (Do you really need instant answers at 11PM?)
  • How to provide people with email-free time slots so people can actually think!
  • "Blast email" restrictions to regulate the dreaded "Reply to All"
  • Managing exceptions and gently enforcing compliance

Step Three – Provide individual skill training

A one day training for groups of 12 will aim to cut email time by up to 50%. Participants learn:
  • How to craft messages that get read in less than 5 seconds and elicit action
  • Establishing inbox rules that automatically sort messages so you don't have to
  • When to use email, when to use IM, when to call
  • Ways to empty your inbox every single day
